Terms and Conditions - Evexia Bespoke Private Retreats & Corporate Events
1. Booking and Payment
1.1. To secure your bespoke private retreat or corporate event booking, a 50% non-refundable deposit must be paid at the time of booking.
1.2. The remaining 50% balance payment must be made 90 days before your arrival date.
1.3. All bookings are subject to availability and confirmation from Evexia Bespoke Private Retreats & Corporate Events.
1.4. A booking confirmation will be sent to you via email once your deposit payment has been processed.
1.5. Minimum booking requirement: 2 participants for private retreats, with no maximum limit. Corporate events can accommodate groups of various sizes depending on chosen venue.
1.6. Payment plans may be arranged for larger groups - please contact us to discuss options.
2. Retreat & Corporate Event Inclusions
Your bespoke experience includes:
Accommodation & Dining:

Luxury accommodation at your chosen venue (TAF Villas, Villa Athena, or Sails on Kos)

Minimum 5 days/4 nights stay

Meals as per venue (TAF Villas & Sails on Kos include breakfast and evening meals; Villa Athena is self-catering with restaurant booking assistance)

Welcome arrival snack
Wellness & Activities:

Bespoke wellness classes tailored to your group (yoga, Pilates, fitness training, breathwork, meditation, life coaching)

Guided hiking experience with visit to Pandrosia Aloe Vera Farm (or alternative activity)

3-island cruise (or alternative activity of your choice)

Complete flexibility to swap activities to suit your group's interests
Transportation & Equipment:

Private transfers throughout your stay

E-bike rental for island exploration

All necessary equipment for wellness activities
3. Retreat & Corporate Event Exclusions
Your bespoke package does not include:

Flights and travel arrangements to Greece
-
Tourism tax (to be paid at venue upon arrival; refer to Greek tourism website for current rates)

Travel insurance (highly recommended to cover all activities)

Personal expenses and shopping
-
Additional meals not specified in your chosen venue package

Alcoholic beverages (unless specifically included in your bespoke package)

Any activities not agreed upon in your personalised itinerary
4. Health and Safety
4.1. Participants acknowledge that they are taking part in the retreat/corporate event at their own risk.
4.2. Evexia Bespoke Private Retreats & Corporate Events conducts risk assessments and ensures all instructors and guides are qualified professionals.
4.3. Some activities, accommodation, and services are provided by third-party companies (venues, transport operators, activity providers). Evexia is not responsible for incidents arising from third-party services - these remain the responsibility of the respective providers.
4.4. All participants must complete and return health questionnaires prior to arrival.
5. Travel Insurance
5.1. It is highly recommended that all participants take out comprehensive travel insurance covering all activities included in your bespoke retreat/corporate event.
5.2. Insurance should cover medical emergencies, activity participation, cancellations, and personal belongings.
6. Cancellation Policy
6.1. Client Cancellations:

More than 90 days before arrival: Loss of 50% non-refundable deposit

90-31 days before arrival: 75% of total booking cost
-
30 days or less before arrival: 100% of total booking cost (no refund)
6.2. All cancellation requests must be made in writing via email.
6.3. Evexia Cancellations: Evexia reserves the right to cancel a retreat/corporate event up to 30 days before arrival due to:

Insufficient participant numbers
-
Circumstances beyond our control (force majeure events)
-
Venue unavailability
6.4. In the event of Evexia cancellation, a full refund of all payments will be provided. However, Evexia is not responsible for any additional costs such as flights or accommodation booked independently.
6.5. No-show policy: Failure to arrive without prior cancellation will result in forfeiture of the entire booking cost.
7. Liability
7.1. Evexia Bespoke Private Retreats & Corporate Events is not liable for any injuries, losses, or damages sustained by participants during the retreat/corporate event.
7.2. Participants are responsible for their own health and safety and must disclose any medical conditions, dietary requirements, or allergies prior to the event.
7.3. Evexia is not responsible for incidents, accidents, or service issues caused by third-party providers including venues, transport operators, or activity providers.
7.4. Personal belongings are the responsibility of participants - we recommend comprehensive travel insurance.
8. Conduct
8.1. All participants are expected to behave respectfully towards other guests, staff, instructors, and venue personnel.
8.2. Evexia reserves the right to ask any participant to leave the retreat/corporate event if their behaviour is deemed inappropriate, disruptive, or dangerous. No refunds will be provided in such cases.
8.3. Participants must comply with local laws, venue rules, and instructor guidelines at all times.
9. Force Majeure
9.1. Evexia is not liable for any cancellations, delays, or changes to the retreat/corporate event schedule due to events beyond our control, including but not limited to:

Natural disasters, extreme weather conditions

War, terrorism, civil unrest

Government restrictions or travel bans
-
Pandemic-related restrictions

Venue closures or unavailability
9.2. In such circumstances, Evexia will work with clients to reschedule or provide alternative arrangements where possible.
10. Data Protection & Media
10.1. Personal data collected during booking will be used solely for retreat/corporate event purposes and stored securely in accordance with GDPR regulations.
10.2. Photographs and videos may be taken during your experience for promotional purposes. If you do not consent to this, please notify us in writing before your arrival.
11. Modifications
11.1. Evexia reserves the right to make reasonable changes to itineraries, accommodation, or activities due to circumstances beyond our control.
11.2. Any significant changes will be communicated to clients as soon as possible.
11.3. Requests for modifications to your bespoke package after booking confirmation may incur additional charges.
12. Agreement
By booking and participating in Evexia Bespoke Private Retreats & Corporate Events, you agree to these terms and conditions. Your booking and payment of the deposit signifies your acceptance of these terms on behalf of yourself and all participants in your group.

Terms & Conditions Pilates & Breathwork Retreat 2025
1. Booking and Payment
1.1. To secure your booking, full payment must be made at the time of booking.
1.2. Payment plans can be arranged and secured with a deposit payment. Full payment must be made 90 days before arrival.
1.3. All bookings are subject to availability and confirmation from Evexia (Kos) .
1.4. A booking confirmation will be sent to you via email once your payment has been processed.
2. Retreat Inclusions
The retreat package includes:
- 7 Nights accommodation
- Daily Pilates & Breathwork classes
- 1x Guide Hike
- Bicycle rental from arrival until friday afternoon
- Daily breakfast
- Daily Vegetarian Evening Meal
- Evening Excursion to Zia Village
- Airport transfers
3. Retreat Exclusions
The retreat package does not include:
- Flights and travel arrangements to Kos Island
- Tourism tax (to be paid at the venue upon arrival; refer to the Greek tourism website for rates)
- Travel insurance (highly recommended to cover all activities you wish to participate in)
- Lunch and 4 evening meals
- Daily expenses
- Any additional activities not listed in the program or specifically stated as 'not included'
4. Health and Safety
4.1. Participants acknowledge that they are taking part in the retreat at their own risk.
4.2. Evexia (Kos) Fitness & Wellness Retreat conducts risk assessments and ensures that all instructors are qualified.
4.3. Some activities and catering services are provided by third-party companies. Evexia (Kos) Fitness & Wellness Retreat does not accept responsibility for incidents or food-related issues arising from third-party services. These are the responsibility of the third-party providers.
5. Travel Insurance
5.1. It is highly recommended that participants take out travel insurance that covers all the activities included in the retreat.
6. Cancellation Policy
6.1. All cancellations are subject to our cancellation policy, which is available on our website or upon request.
6.2. Please review our cancellation policy for detailed information on cancellation terms, conditions, and any applicable fees.
6.3. Evexia (Kos) Fitness & Wellness Retreat reserves the right to cancel the retreat up to 30 days before arrival if there are not enough participants to make the retreat viable. The minimum number of participants is usually three.
6.4. In the event of such a cancellation, a full refund of the retreat cost will be provided. However, Evexia (Kos) Fitness & Wellness Retreat is not responsible for any other fees, such as flights. This is why travel insurance is recommended.
7. Liability

Pilates & Breathwork RETREAT CANCELLATION POLICY
CANCELLATION POLICY
If you wish to cancel your booking more than 90 days before departure, you will only forfeit your deposit.
All cancellations within 90 to 60 days before departure, you will forfeit 25% of the total cost.
All cancellations within 60 to 30 days before departure, you will be refunded 50% of the total cost.
All cancellations made within 30 days of departure, you will not be entitled to any refund.
Notice of cancellation:
All cancellations must be submitted in writing by email to evexia.kos@gmail.com , along with your booking reference and reasons for cancellation.
It will be assumed that a customer wishes to travel on the booked experience, regardless of any restrictions put in place, unless we receive a cancellation request in writing. Failure to notify us will result in the service being non-refundable.
FAQs
Can I move my booking to a future date?
Should you wish to move your booking to a future date or make any other amendments to your existing booking, we will view such requests on a case-by-case basis, subject to availability.
If we are able to meet your requests, there may be a difference in price (higher or lower) due to seasonality or time of booking. Amendments may also incur an additional charge according to the terms and conditions of your original booking.
We reserve the right to charge a service fee for rescheduling. This fee will be determined on a case-by-case basis and will align with our previously stated cancellation policy.
What happens if my retreat is cancelled because of Covid-19?
If you receive notification that your retreat has been cancelled due to Covid-19, we will work with you and the host to find a suitable date to postpone to and if one cannot be found then a full refund will be offered.
What happens if I am unable to travel due to Covid-19 related illness?
If the customer is unable to travel due to illness but the trip is still operating, then our standard cancellation policy would apply. We strongly recommend the customer take out adequate travel insurance at time of booking.
We of course will try and help the customer by talking with the host to see if they were willing to amend/postpone their existing booking.
What do I do if I need to cancel or amend my existing booking?

What is included in the price of a Pilates Class:

CANCELLATION POLICY
If you wish to cancel your booking more than 24hours before a class or Personal Training session, no fee will be payable.
If you wish to cancel your booking within 24hours of a class or Personal Training session, the full fee as agreed will be payable.
